We’re now onboarding more Commonview customers

Over the past few months, we’ve been building Commonview around the real challenges of managing property information, compliance, and maintenance.

During that time, we’ve been working closely with a small number of early users - using real portfolios to shape how the platform works in practice.

We’re now ready to start onboarding more customers.

A small, hands-on rollout

Rather than opening things up fully, we’re continuing with a controlled approach - onboarding a small number of organisations at a time and working closely with each one.

This means helping you:

• structure your properties and assets properly
• bring existing information into the system
• set up workflows and outputs that fit how you operate
• get your team comfortable using Commonview day-to-day

The goal is simple - make sure you’re getting real value from the start.

Why we’re doing it this way

Working with early users has reinforced something for us - good setup makes a big difference.

Every organisation manages property information slightly differently, and taking the time to get things right upfront leads to much better outcomes.

We’re continuing this approach as we expand, so we can keep improving Commonview based on real use.

For this next group, pricing is simple:

• $1 per unit, per month (first month free, no credit card required)
• No long-term commitment — cancel any time
• No setup fees for early access users

As someone who has been part of the Commonview journey, we’re excited to let you know that everything we previewed in our last newsletter is now live.

Now you can:

• Track and report on the status of all tasks, and record notes against them
• Upload files, quotes, documents and images against each task or directly into a document library with intuitive classification for easy retrieval
• Download all your raw data with one click so you don't have to worry about "vendor lock-in" should you ever decide to move away from Commonview
• Generate individual resident contribution reports to send out to each resident
• Download a full 30-year maintenance plan for your entire building in PDF format containing all the detail you need to present to BC committee for approval

We're currently putting the finishing touches on GST functionality to make your life easier depending on whether you are GST registered or not.

Work tracker - Instantly see the status of your planned maintenance tasks

Track maintenance progress at a glance. See updates in real time for: Started, Completed, Postponed, Estimates, and Scheduling. Add notes, upload photos and documents, and see a timeline of progress!

Document library - One home for everything

No more chasing files across emails or folders! Store meeting minutes, surveyor reports, quotes, photos, and videos in one secure, easy-to-access space. Categories are included to help you keep everything nicely organised.

Notes & images - add context in seconds

Capture real-time notes, images, and videos directly within tasks. Give your team the full picture without extra emails or calls.

Download your data - no vendor lock in

We now have three options for downloading your maintenance plan data:

1. CSV/Excel download of all tasks and costs

Export a complete CSV file containing every task and cost projected over the next 30 years. Perfect for offline checking, financial modelling, importing into other systems, or migrating your data should you choose to move away from Commonview at any point.

2. Individual resident contribution report

Residents can download personalised PDFs showing exactly how their levy is calculated, providing full transparency.

3. Active year budget & maintenance report

Generate a professionally formatted PDF for the current financial year. Share with residents or use in board meetings to support budget approvals and contributions.

What's next?

We’re exploring the development of a day-to-day operational maintenance reporting tool. This would give residents an easy way to report issues, such as a broken window, while allowing facilities teams to track progress and manage resolutions within one centralised platform. This feature would remain distinct from the long-term maintenance planning capabilities of Commonview, but the goal is to bring all maintenance needs, both immediate and long term, into a single streamlined tool.
